STEP 1 – RG-1 (League and Club Registration with EPYSA)
(WL Board)
All EPYSA Intramural Leagues, Recreational Clubs and Travel Clubs MUST register on the EPYSA website (www.epysa.org) annually between April 1 and July 1
STEP 2 - RMA (Risk Management Assessment)
(All WL intramural and travel coaches, assistant coaches, team managers, team parents (optional), and board members)
The RMA/RG6 on the EPYSA website (http://www.epysa.org/ ) must be completed to receive a user ID and password to register your team on the EPYSA website. Click on Online Registration followed by 2004-2005 Rick Management Registration.
STEP 3 – WL Travel Team Registration with EPYSA
(Team Representative – Coach, Assistant Coach or Team Manager)
Each WLUSC travel team must register to receive a team ID and password to gain access to the Travel Team Database on the EPYSA website (www.epysa.org). Click on Online Registration followed by 2004-2005 Travel Team Registration.
STEP 4 – Coach’s Agreement
(Coaches)
Each coach must complete the league Coaches Agreement (LVYSL, PAGS, DELCO etc). For LVYSL, go to http://www.lvysl.org/ and click on Notices | Spring 2005 season then scroll to bottom of page to get the Coaches Agreement form.
STEP 5 – Team Registration
IMPORTANT! A copy of each new player’s birth certificate will be required. Returning players may use the immediate previous season pass otherwise a copy of the player’s birth certificate must be used.
- Go to www.EPYSA.org click on Online Registration followed by 200n-200n Travel Team Registration and enter each new player’s information from the Western Lehigh registration form. For returning players, use the “Add Returning Players by Team” button to save time. You may edit address changes etc when the previous year’s information has been carried to the current year. CAUTION – Players names must be entered to the database exactly as they appear on the player birth certificate.
- When all players have been entered, verify what you have entered and run the audit report by clicking the Audit Report button found in the Team datatype on the left side of the screen. You may run this report as many times as needed to see if rule failures are corrected.
- When audit report passes all Rules (except for league level rules), print the RG6 forms. There will be an RG6 form for each player, coach, team manager etc that has been entered into the database during the team registration process.
- Print member passes. There will be a member pass for each player and coach entered for the team.
- Have parents, coaches etc each sign their respective RG6 form.
- Have players and coaches sign their respective member pass. As an alternative, a signature label may be signed and pasted to the player passes on the signature line.
- Print 5 copies of team roster and 1 copy of the team lineup.
- Deliver the following registration materials to the club registrar (aka Registration Packet):
- 5 copies of team roster printed directly from the EPYSA database
- 2 copies of lineup printed directly from the EPYSA database
- Copy of Birth certificates for new players or previous season pass for return players
- Signed RG6 forms for coaches and players printed directly from the EPYSA database
- Western Lehigh registration forms with player pictures attached
- Signed Coach’s Agreement for each coach (form on LVYSL web under NOTICES – Coach Info
- Photocopy of coaching license (New coaches only)
- Coaches receiving advanced license must submit a photocopy for the league to update it’s records
- Signed Member passes – Name must match birth certificate – Do not include middle initial and endings or titles such as “Jr”or “III” etc
- 1 x 1 picture of each coach for the coach’s member pass
- Audit report if league rules have failed
*** Please keep copies of rosters, birth certificates, RG6 forms. Coaches Agreement and anything else in the unlikely event a form is mishandled. Having player passes from one year to the next help facilitate the registration process from one season to the next.
STEP 6 – Team Verification
WL registrar reviews materials and prepares the team registration “packet” for delivery to the league registrar. Tasks include:
- Make copies of each registration form and paper clip the signed player pass with picture along with copy of birth cert if needed.
- Place all materials into a 10 x 13 manila envelope along with a league specific Packet Cover Sheet to be filled out by the team representative.
- Notify team representative of required changes.
- Ensure delivery to league registrar
At this point, the Club Registrar verifies the accuracy and completeness of the team documents and resolves any outstanding items if possible and prepares a team packet for the league registrar. If there are outstanding audit items that the Club Registrar cannot resolve, the League Registrar will resolve open items when the team packet is received. When the items open items are resolved, the League Registrar will approve the team in the EPYSA database and the team is ready for the fall season.
The team is notified that the registration process is complete.
